Who we are
The Education Management Information System (EMIS) and the KUSOED EMIS mobile app are operated for Kathmandu University School of Education (KUSOED), Hattiban, Lalitpur, Nepal.
The platform is built and maintained on KUSOED's behalf by Ek Ra Sunya Inc Pvt. Ltd., Kathmandu, Nepal. KUSOED is the controller of student and applicant records; Ek Ra Sunya processes that data only to operate the platform on KUSOED's instructions.
What we hold
The platform does not create new categories of information about you. It shows you records the institution already keeps.
- Account information: your name, email address, phone number and role at the institution.
- Academic records: your enrolled programme and batch, course results and term results.
- Financial records: your fee schedule, amounts due and paid, payment history and receipts.
- Application records (applicants): the details you submit when applying, including uploaded documents, and the status of your application.
- Device notification token: if you allow notifications in the mobile app, a token from Apple or Google is stored so the server can send you a notification. It identifies a device, not you personally, and is deleted when you sign out or when the notification service reports it is no longer valid.
What we do not do
- We do not track your location. The mobile app requests no location permission.
- We do not access your contacts, photos, microphone or calendar. File access is limited to documents you choose to upload.
- There is no advertising, and we do not sell or share your data with advertisers or data brokers.
- We do not use third-party analytics or tracking SDKs in the mobile app.
Payments
Fee payments are processed by Khalti and the KU Revenue gateway. Payment is completed on the provider's own checkout. We never see or store your card, bank or wallet credentials. We receive only the outcome of the payment and its reference number, so we can show you a receipt. Those providers handle payment data under their own privacy policies.
Where your data is stored
Data is held on servers operated for KUSOED. Traffic between your device and the server uses HTTPS. In the mobile app, your sign-in token is kept in the device's secure storage (iOS Keychain, Android EncryptedSharedPreferences). The app also keeps a local copy of your most recent fee and result figures so they remain readable without a connection; that copy is erased when you sign out.
How long it is kept
Student and applicant records are retained by Kathmandu University as part of its record-keeping obligations. Deleting the app does not delete your academic record, and neither KUSOED nor Ek Ra Sunya can erase an institutional record on request where the university is required to keep it.
Your choices
- Notifications can be switched off at any time in your device settings. The app works fully without them.
- Signing out removes your session token and clears locally cached data from the device.
- Account deletion: you can ask for your account and login access to be closed by contacting KUSOED. Because the university is required to retain academic and financial records, deletion applies to your account and access; the underlying institutional record is retained under university policy. We will tell you plainly what can and cannot be removed.
Children
The platform is intended for university applicants and students. It is not directed at children under 13.
Changes
If this policy changes materially, the updated version will be published at this address with a new last-updated date.
